New business in the CRM, offers with an acceptance link, client projects with a board and time tracking, retainers as recurring invoices. One platform instead of five tools, and the margin sits with the project.
In short
cashwerk is the business platform for marketing, digital and creative agencies: leads and clients in the CRM, offers with a public acceptance link, client projects with a kanban board and time tracking, GoBD-compliant invoices from those hours, retainers as recurring invoices and stages as an invoice chain. It all lives in one data model, with EU hosting and GDPR. For 1 user cashwerk is free forever, after that you pay per user and month.
Six steps from the enquiry to the incoming payment, without switching tools.
The lead becomes a contact and a deal on the board, with stage, value and an owner.
Line items with cost and sales price, the client accepts through a public link, no login needed.
A client project with a board, stages, team, appointments and the client's files.
Tasks on the board, a timer per task, flagged billable, with an hourly rate per service.
Tracked hours become line items, retainers run as recurring invoices, stages as a chain up to the final invoice.
Open items and partial payments in the list, dunning levels with fees and interest on the Business plan.
The typical problems in your field – and how cashwerk solves them.
Five tools for clients, projects, time, invoices and files, and none of them knows the others
One record per client: deal, offer, project, hours, invoice and files hang together, with no export in between.
At the end of the month nobody knows whether the client project had any margin
The project cockpit puts revenue, cost and tracked hours side by side, and line items carry cost and sales price.
Hours get tracked too late, so the invoice ends up being an estimate
A timer on project and task, flagged billable; tracked time becomes a line item, and nothing is billed twice.
Retainers and stages are re-issued by hand every month
A recurring invoice with a rhythm, line items and recipient; progress invoices as a chain up to the final invoice.
Freelancers should be able to work with you without seeing every client record
Roles as presets from viewer to manager, plus possession scopes; the same permissions apply in the app and through the API.
The functions that matter in your day-to-day.
Several pipelines, stages as columns, deals with value, probability, tasks and appointments.
Line items with margin, acceptance or rejection through a public link, then the invoice in one click.
Board, tasks, appointments and documents per project, plus revenue, cost and hours in the cockpit.
A timer per task, a billable flag, an hourly rate per service, reports as PDF and CSV.
Recurring invoices for monthly fees, progress invoices as a chain, a change order when the scope grows.
Briefings, layouts and approved versions in folders, shared externally by link with an expiry date.
Several pipelines for new clients, pitches or existing accounts. Each deal shows stage, value, weighted value and priority, next to the client card with history, tasks and appointments.
Campaigns, sequences and ticketing are not part of the product. cashwerk covers pipeline, offer and order; the campaign stays in your marketing tool.

Every client project has a board, tasks, appointments, documents and a cockpit. Revenue, cost and tracked hours sit side by side there, together with the line items carrying cost and sales price and the margin that follows from them.
A retainer becomes a recurring invoice: set the rhythm, line items and recipient once, cashwerk creates the invoices and shows the expected recurring revenue. Projects with stages run as an invoice chain up to the final invoice, which deducts every partial invoice.
Dunning levels with fees and interest also belong to the Business plan. The DATEV posting batch exports from Starter.
Learn moreThe usual tool chain of an agency, and what of it collapses into cashwerk.
One system, one login, one data model. 1 user free forever, after that from 14 € per user and month on the Starter plan.
Pipeline, task board and billing chain, the three places an agency works in every day.

Trusted by leading companies

cashwerk covers the whole chain in one system: contacts and deals in the CRM, offers with an acceptance link, client projects with a board and tasks, time tracking per project and task and GoBD-compliant invoices from those hours. Drive for briefings and assets, a team calendar and absences come with it. For 1 user the entry is free forever.
Yes. A retainer runs as a recurring invoice with a fixed rhythm and fixed line items, booked and sent automatically if you want. Projects with stages run as an invoice chain of partial and progress invoices up to the final invoice, which deducts what was already billed. If the scope grows, a change order records the updated order sum.
Yes. Line items carry cost and sales price, which gives you the margin per line. The project cockpit puts revenue, cost and tracked hours side by side per project, and project metrics add hours by category. An evaluation across all clients comes from the invoicing reports and exports, available from the Starter plan.
Time entries hang on project and task and carry a billable flag. When you create the invoice you take them over as line items, with the hourly rate of the service in question. Hours that were already invoiced are locked, so the same hour never lands on a second invoice.
Yes. Every offer has a public link where the client sees the PDF and accepts or rejects it, with no login. The status then shows in the offer list, and the accepted offer becomes an invoice in one click, with all line items and client data.
Yes. Roles come as presets from viewer through editor to manager, plus possession scopes that limit access to your own or assigned records. The permissions apply everywhere alike, in the interface as well as through the API. Every extra seat is a paid user, and you adjust the number of seats in the licence settings.
No, and that is deliberate. Campaigns, newsletter sequences and ticketing are not part of the product. cashwerk takes over from the enquiry onwards: pipeline, offer, project, time, invoice and dunning. Connections to your other tools run through the REST API, webhooks from the Starter plan or the n8n node.
