Zoho One is the biggest promise on the market: more than 45 apps for one price. For teams that work in projects and bill afterwards, the promise often ends at the seams between the apps.
The breadth of Zoho One is real. CRM, Books, Projects, People, Desk, Campaigns, Creator, Analytics – if you want everything, you find everything. The price is integration work: customers live in CRM, projects in Projects, time in People or Projects, invoices in Books. Every app has its own data model, permissions and settings. Before a deal shows up as a project, the project as time and the time as an invoice, someone has built and maintained flows.
cashwerk gives up the breadth and builds the one flow all the way through: a contact becomes a deal, the won deal a quote, the quote a project with costing and margin, the tracked time lands as line items on the invoice – as a milestone, recurring or final invoice, as an e-invoice to the public sector, with dunning levels if nobody pays. One record, one permission model, one login.
On price, the logic differs more than the numbers. Zoho One costs €37 per employee per month if you buy licences for every employee – including those who never work in Zoho. If you do not want that, you pay €90 per user per month on the Flexible User model. cashwerk is free for 1 user and costs €14/user/month (€12 annually) on Starter or €29 (€24 annually) on Business – only for the users who work in the system.
For the DACH region there is more: cashwerk hosts in the EU, complies with GoBD and creates XRechnung and ZUGFeRD on the Business plan without an extra module. Zoho Books has a German edition; which features and data centres you get depends on edition and account region. The Casper assistant works in the same record and asks before every change – and through the MCP server your own AI tools operate cashwerk with your permissions.
To be fair: Zoho One covers areas cashwerk deliberately does not build – general ledger accounting, payroll, help desk, marketing automation, web shop. If you need several of those, Zoho One or Odoo serve you better. If you want the core flow from deal to cash clean and leave accounting to your accountant or Lexware, cashwerk is the more focused alternative.
